Almost every week, a small or midsize business owner hears some version of the same pitch: “Let AI run your busywork. Just upload a recording of what your team does, and our platform will take it from there.”

It sounds great. And the underlying technology is real — AI genuinely can take over the repetitive, screen-bound tasks that quietly eat hours out of every workweek. But read the fine print on most of these offers and you’ll notice three things that should give any careful owner pause.

The fine print nobody reads out loud

First, your data leaves the building. To make that pitch work, you upload recordings of your actual work — your invoices, your customer records, your order screens — to a vendor’s cloud. For a lot of businesses, that’s not a minor detail. If you handle client financials, health information, contracts, or anything a competitor would love to see, “just upload it to our servers” is the whole problem, not the solution.

Second, you’re billed by the minute. Most of these platforms meter you for every minute their AI is working. That turns a tool that’s supposed to save you money into a bill you can’t predict from one month to the next — and the more useful it becomes, the more it costs.

Third, it’s a black box you don’t control. When something breaks — and screen automation always breaks eventually, because software changes — you’re filing a support ticket with a company two time zones away, waiting on a queue, hoping someone who has never met you gets to it.

None of that is a knock on the idea of AI automation. It’s a knock on the delivery model. And it’s the reason we built Oridian Systems to work the opposite way.

A different arrangement

We think automation should run on infrastructure you own and control — a server in your building, or your own cloud account we help you set up. Not ours. When we build an automation for you, it runs on your own AI keys, your data stays in systems you own — your database, your SharePoint, your tenant — and nothing gets pooled onto a platform we control.

That one decision changes almost everything downstream:

  • Your data stays yours. It lives in systems you own — on-site or in your own cloud — never uploaded to us or pooled with anyone else’s. Recordings we use to build an automation are deleted once it’s live.
  • The price is predictable. Because you hold your own AI keys, there’s no per-minute meter with our name on it. We charge a flat fee to build an automation and a simple monthly amount to keep it running.
  • There’s a real person on the other end. We’re not a login screen. We map the work with you, build it, deploy it, and stay on to fix it when your software updates or your process changes.

And because these automations act inside your real systems, we build them carefully on purpose. Anything irreversible — sending money, filing something, deleting a record — waits for a human to approve it. Every run has a hard spending cap so nothing can quietly rack up a bill overnight. And every action and decision is written to an audit log you can actually read.

Why we do it this way

Between the two of us, we’ve spent a long time inside real businesses rather than around them. One of us came up through mechanical and PCB design, moved into business systems analysis, and eventually ran an entire IT department — the business software, the network, the phones, the helpdesk, all of it. The other spent years in IT and manufacturing management, close to operations and the daily reality of the shop floor.

That background is the whole reason we started Oridian. We’ve watched the big cloud vendors package up capable technology and sell it back to smaller companies on terms that quietly work against them. But the same tools can be built to run on what you already own. We’d simply rather be the local partner who stands it up and keeps it running than one more subscription you never hear from again.
